You can record many learner completions at once by importing a CSV file on the Completion import screen. Learn:Go lists each import in a history table, and you can open a report of the rows that it could not import.
Before you start
You need the permission that allows you to import completions for learning experiences in your organisation.
Your organisation also needs the Completion Record Import service enabled. The template download and the import both need it.
Open the completion imports screen
You can see every completion import for your organisation, and start a new one, on the Completion import screen.
- Select Learning Experiences.
- Select Completion imports.
The Completion import screen opens. It lists each past import in a table with these columns.
| Column | What it shows |
|---|---|
| File name | The name of the file that you imported. |
| Status | "Pending", "In progress", "Processed" or "Failed". |
| Progress | The share of rows that Learn:Go has processed. |
| Failed rows | The number of rows that Learn:Go could not import. |
| Total rows | The number of rows in the file. |
| Imported by | The person who started the import. |
| Date imported | The date and time of the import. |
The table shows 25 imports on a page. It refreshes about every 10 seconds, so you can watch an import advance without a reload. If your organisation has no imports yet, the screen shows "No imports yet. Here’s how it works" with three cards: "Download template", "Upload and match" and "We process it".
Download the import template
You can start from a CSV template that already has the columns that the import expects.
- Open the Completion import screen.
- Select Download template.
Your browser saves a file named completion-record-import.csv. It has a header row and no data rows. Fill in one row for each completion that you want to record.
| Column in the template | What it holds |
|---|---|
| User Identifier | The learner's user ID, SSO ID or username. Map the column to the field that matches what you enter. |
| Learning Experience Name | The title of the learning experience. It is for your own reference. The import does not use it to find the learning experience. |
| Learning Experience External ID | The External reference of the learning experience. It must match one learning experience in your organisation. |
| Object Name | The title of an object. It is for your own reference. An object is a step inside the learning experience. |
| Object External ID | The external ID of the object that you are recording. It must belong to the learning experience in the same row. |
| Learning Experience Completion Date | The date on which the learner completed the whole learning experience. |
| Object Completion Date | The date on which the learner completed the object that the row names. |
| Enrolment Date | The date on which the learner enrolled. |
| Learning Experience Completion Reason | Why the completion is recorded: "Completed Offline", "Completed Equivalent", "Demonstrated Proficiency", "Technical Error Prevented Automatic Completion" or "Other". |
| Learning Experience Completion Note | A note about the completion. A row with the reason "Other" needs a note. |
You can also use your own CSV and match its columns to these fields when you import it.
Import completion data
You can record many completions at once by importing a CSV file and matching its columns to completion fields.
Open the Completion import screen.
Select Import. If your organisation has no imports yet, select Import your first file.
Select the dropzone, or drag a CSV file onto it. The file must be a CSV and at most 200 MB.
Select Next.
-
Check the Column mapping section. Learn:Go matches the columns for you, and the section opens by itself when a match needs a fix. Change a match in the Maps to list on a row, or choose Ignore to skip a column.
Select Import when the banner says "All required columns mapped – ready to import".
The window closes and you see "Import started. Track its progress in the table." The new import appears in the table on the Completion import screen. Select Back to choose a different file, or Cancel to close the window without importing.
A field maps from one column only, and a column maps to one field only. These are the fields that you can map to.
| Field | Rule |
|---|---|
| User ID, SSO ID, Username | Map exactly one of these three to identify the learner. |
| LX external ID | Always map this field. Each value must match the External reference of a learning experience, which you find on the General tab of its Settings. See Change the content and settings of a learning experience. |
| LX completion date, Object completion date | Map at least one of these. |
| Object external ID | Map this field if you map Object completion date. |
| LX completion reason | Map this field only if you map LX completion date. |
| LX completion note | Map this field only if you map LX completion reason. |
| Learning experience name, Object name, Enrolment date | Map these fields if you want them. |
If the mapping is not complete, the banner shows "To import, map <the missing items>." and Import stays unavailable until you fix it.
See what an imported row does
Learn:Go checks each row, then records it for the learner that the row names. If the learner is not enrolled in the learning experience, the import enrols them. If you map an enrolment date, that date is the enrolment date.
A row with a learning experience completion date marks the learning experience complete on that date. It also marks every object in the learning experience complete. A row with only an object completion date marks that one object complete.
A row that fails a check is not imported, and the import carries on with the next row. The row appears in the error report with the reason.
Download the error report for failed rows
You can open a report of the rows that Learn:Go could not import.
- Open the Completion import screen.
- Find the import in the table.
- In the Failed rows column, select Error report.
The report file for that import opens. The link appears next to the number of failed rows once the import has finished or failed, and only when a report file exists. Until then the column shows only the number, or a dash when no rows failed.
Troubleshooting
If you see "Completion Record Import service must be enabled" when you download the template, your organisation does not have that service enabled.
If you see "Please upload a CSV file.", select a file with the .csv extension or the CSV type.
If you see "File is too large. The maximum size is 200 MB.", select a smaller file.
If you see "Please upload a file to continue.", select a file in the dropzone, then select Next.
If Import is not available, read the banner in the Column mapping section and map each item that it names.
If you see "Import failed. Please try again.", the window stays open, so select Import again.
If the Failed rows column shows a number but no Error report link, the import is probably still running. The link appears only after the import has finished or failed. The table refreshes about every 10 seconds, so the link appears once the import ends.
