You reach these steps from the Resource step of Build a multi-module learning experience or Create a learning experience from a single resource. Use the Details, Cover, Settings and Preview and publish steps of the wizard to name your learning experience, set who can reach it and when, and publish it, or to save a draft and finish later.
Details
The Details step needs a Learning experience title, up to 100 characters. A Short description of up to 500 characters is optional.
With One resource, the step also shows Completion type and Inherit completion for your resource. Completion type offers Finish the content for a package, View the content for most other resources, and Pass the assessment or Submit the assessment for an assessment. An event shows Inherit completion only, and an assessment shows Completion type only.
Cover
The Cover step offers two optional images: a Banner image for the top of the learning experience page, and a Tile image for learning cards and lists. Select Browse files to add either. Because both are optional, you can continue without them.
Each image must be a JPEG or PNG file of 10 MB or less.
The Banner image area shows "JPEG or PNG · max 10 MB · at least 800 × 200px" and the Tile image area shows "JPEG or PNG · max 10 MB · at least 400 × 400px". The sizes are advice: a smaller image still uploads, and the step shows a note such as "Banners look best at 800 × 200px or larger, so this image may appear soft on larger screens." An image with a different shape also uploads, with a note that it will be cropped to fit, and a file over 2 MB uploads with the note "Large files may be slow to load for learners on poor connections."
Settings
The Settings step controls when the learning experience is available, who can reach it, and how new enrolments start.
| Setting | What it does |
|---|---|
| Start date | Required, and filled in with today's date. |
| Close date | Optional. It has to be after the start date. After it passes, the learning experience stops appearing in learners' lists of assigned, required, recent and saved learning. A learner who has started but not finished can no longer open it. |
| Required | Off by default, so new enrolments start as optional. Turning it on reveals Days to complete, set to 30 by default, which you can change from 1 to 365. The days count from the Start date of the enrolment, not from the first time the learner opens the learning experience. The Enrol users wizard fills in Start date with today's date, or with the start date of the learning experience if that date is in the future. |
| Start each enrolment fresh | On by default. It applies when a learner who has done this learning experience before is enrolled again. On, only activity from the new enrolment counts towards completion. Turn it off and the learner's earlier completed steps still count, so the learner can show as complete at once. |
| Visibility | Choose Private, the default, so that only assigned learners can see the learning experience, or Public so that everyone in your organisation can see it. To assign learners to a private learning experience, publish it, then select Enrol users on its detail page and choose users or groups. After publishing, you can also allow other groups to view a private learning experience, or block groups from a public one, with the Visibility button on the detail page. |
| Require approval | Off by default, so learners can enrol themselves. On, a learner selects Request access and cannot start until their manager approves. The manager approves the request on the Requests tab of Team Management, and the learner sees "Access pending" until then. A learner who has no manager cannot send the request. Learners that you enrol yourself do not need approval. An administrator who has permission to approve requests can also decide a request on the Requests tab of the detail page of the learning experience. A learner who has no manager sees the notice "Manager approval is required for access". |
Tip
Required and Days to complete are the defaults for new enrolments. When you enrol users, you can change both for that enrolment. After enrolment, you can change a learner's due date with Edit due date.
Preview and publish
The last step asks "Ready to go live?" and summarises what you have built: the cover with your title and description, the "Resource" section, and the "Settings" section. The cover, resource and settings sections each have a button that takes you back to the step it came from: Edit cover, Edit resources and Edit settings. You can change anything before publishing.
To edit the title or the description in place, select the edit icon beside it. The change saves when you leave the field, and pressing Escape discards it.
Select Preview as learner to see the learning experience as a learner would, with a switch between Mobile and Desktop.
Select Publish to make the learning experience live. You see "Learning experience published" and are taken to its detail page. In the Learning Experiences list it now shows as "Published", or as "Upcoming" if its start date is in the future.
Note
Publish stays unavailable until your learning experience holds at least one real resource. With Multiple resources, a saved evidence upload step also counts. To add one, select Edit resources, either at the top right of the "Resource" section or in the "Add a resource before publishing" message, add a resource, then return to this step.
Save a draft and come back later
Select Cancel, or press Escape, to leave the wizard.
- If you have already selected Continue on the Details step, your work up to your last Continue has been saved, and the message confirms that it is saved as a draft.
- With One resource, if you have not yet passed the Details step, the message warns you that your progress will be lost.
- With Multiple resources, the message confirms that it is saved as a draft, because it is saved as soon as you choose Multiple resources.
To pick up a draft, go back to Learning Experiences, where it appears with the status "Draft". Select its title, or select the three-dot button on its row, named "Actions for <title of the learning experience>", and then select Edit, to reopen the wizard with your saved entries restored.
A draft always reopens at the Details step, wherever you left off. Select Continue on each step to move on to Cover, Settings and Preview and publish again.
Troubleshooting
If you see "Title is required", enter a title, because the step cannot save an empty title.
If you see "Add a resource before publishing", select Edit resources, add a resource, then return to the Preview and publish step.
If you select a draft and return to the home page instead of the wizard, you do not have permission to edit that learning experience, so ask an administrator who can edit it to finish the draft.
