Archive, delete or duplicate a learning experience from the Learning Experiences list.
Before you start
Each action needs a permission.
| Action | Permission you need |
|---|---|
| Archive and unarchive | The permission to edit. |
| Duplicate | Access to the learning experience that you copy, and the permission to create learning experiences. These are the default roles with this permission: Organisation Admin, Learning Experience Creator and Group Workspace Admin. |
An action that you cannot use stays in the menu but is disabled. Hover over it to see "You do not have permission to perform this action".
Archive, unarchive or delete from the list
Archive, unarchive or delete a learning experience from its row in the list, without opening it.
Select Learning Experiences in the navigation.
Select the three dots at the end of the row.
-
Select Archive, Unarchive or Delete.
Confirm in the dialog.
For Delete, type "delete" to confirm.
After you archive, you see "Archived". After you unarchive, you see "Experience unarchived" and "This experience is now published and visible." After you delete, you see "“<name>” has been deleted."
Archive is enabled only when the status is "Published" or "Upcoming". For an archived learning experience, the menu shows Unarchive instead. Unarchiving sets the status to "Published" and clears a close date that is in the past.
Delete several learning experiences at once
Delete more than one learning experience in one step from the list.
The dialog lists the selected learning experiences. It says "This is permanent. All content, enrolments, and analytics will be removed." Delete is disabled until you select a row.
Select Learning Experiences in the navigation.
Select the checkbox of each learning experience to delete.
-
Select Delete above the list.
Type "delete" to confirm.
Select Delete for one learning experience, or Delete (N) for more than one, where N is the number that you selected.
The selection clears.
If you cannot delete one of the selected learning experiences, none of them are deleted.
Archive several learning experiences at once
Archive more than one published learning experience in one step from the list.
The dialog lists the learning experiences that it will archive. Archive is disabled until you select a row.
- Select Learning Experiences in the navigation.
- Select the checkbox of each learning experience to archive.
- Select Archive above the list.
- Type "archive" to confirm.
- Select Archive (N).
The selection clears.
Only published learning experiences are archived. If you select drafts or archived ones with them, the dialog leaves them out. If you select one published learning experience, you confirm without typing.
Duplicate a learning experience
Copy a learning experience. The copy is a draft.
Select Learning Experiences in the navigation.
Select the three dots at the end of the row.
-
Select Duplicate.
Choose the Destination. Your own organisation shows "(current)".
Type the New title. It starts as "<name> (copy)".
Set the Start Date and, if you want, the Close Date.
Select Create duplicate.
The modal closes and you see "“<name>” has been duplicated." The copy is a draft and you become a Learning Experience Admin of it.
The Destination list shows only the organisations where you can create learning experiences. Enrolments and groups do not come across. If you copy into your own organisation, the title must differ from the original.
The copy includes the content and settings of the original. The Start Date is now unless you set another date. The Close Date of the original is not copied.
Select the Archive checkbox to archive the original as well. This works only when the original is published.
Select Advanced options to copy more. Select Tags, Certificate or Email template to copy that part. The copy has none of them unless you select them.
If you select Email template, you see "Review before publishing". The copy sends its emails as the original sender, so check the sender details before the copy goes live.
