Change a due date to move a learner's deadline, or unenrol a learner to remove their access to a learning experience. A due date change keeps the learner's access and progress, and unenrolling keeps their completion history.
Before you start
To unenrol learners, you need the permission to edit learning experiences in your organisation. These are the default roles with this permission: Organisation Admin.
To edit due dates, you need permission to manage enrolments for the learning experience. Group roles that manage enrolments for a linked group have it.
The learning experience must not be archived.
Unenrol a learner
Unenrol one learner to remove their access to a learning experience.
Select Learning Experiences in the main navigation.
Open the learning experience.
Select the Users tab.
-
Select the actions menu, the three dots at the end of the learner's row.
Select Unenrol.
Read the warning in the "Unenrol <name>?" dialog.
Select Unenrol.
You see "<name> has been unenrolled." and the learner no longer shows on the Users tab.
The learner loses access to the learning experience. Their completion history stays, and you can enrol them again later. Enrol people and record completion has the steps to enrol them again.
Edit a learner's due date
Change the due date of one learner's enrolment without touching their progress.
- Open the Users tab of the learning experience.
- Select the actions menu, the three dots at the end of the learner's row.
- Select Edit due date.
- In the "Edit due date for <name>" dialog, pick a date in Due date.
- Select Save.
You see "Due date updated for <name>." and the new date shows in the Due date column.
Save stays unavailable until the date is different from the current one. A learner whose enrolment is required must keep a due date. For an optional enrolment, use the clear control in the field to remove the date.
Change or end several enrolments at once
Select several learners on the Users tab to change their due date or unenrol them in one go.
Open the Users tab of the learning experience.
Select the checkbox at the start of each learner's row.
-
Select Bulk actions (n), where n is the number of selected learners.
Select Edit due date or Unenrol.
Confirm in the dialog.
The menu stays unavailable until you select at least one learner. Each item shows the number of selected learners it applies to, for example Unenrol (3). An item with no learner to act on has no number and stays unavailable.
Each item needs its own permission. Edit due date needs permission to manage enrolments, and Unenrol needs the permission to edit learning experiences in your organisation. Mark as complete and Reset progress need permission to edit enrolment completions and permission to edit the learning experience. Enrol people and record completion gives the default roles and the steps for those two.
In the due date dialog, the heading "This change applies to <n> learners" lists the learners. Pick a date in Due date and select Save. You see "Due date updated for <n> learners." and the selection clears.
In the unenrol dialog, learners who were enrolled through a group are skipped. The dialog tells you how many are skipped and says to unenrol them from the group instead. Select Unenrol to continue. You see "<n> learners have been unenrolled." and the selection clears.
Troubleshooting
If you do not see Edit due date in the actions menu, check that you have permission to manage enrolments for the learning experience. If Unenrol is unavailable, check that you have the permission to edit learning experiences in your organisation.
If Unenrol or Edit due date is unavailable, the learning experience is archived. Unenrol is also unavailable without the permission for that action, and Edit due date is not shown without it.
If you see "Required enrolments must have a due date.", pick a new date instead of clearing the field.
If you see "No selected learners are eligible for this action.", select learners that the action applies to.
If you see "<succeeded> succeeded, <failed> failed.", the action worked for the first number of learners only.
