Change what a learning experience holds on its Content tab, and change how it works on its Settings page. Content changes apply to enrolled learners at once after you save, and settings apply to this learning experience only.
Before you start
You need the right permission for the task that you do. You cannot change the content or the settings of an archived learning experience.
| Task | What you need |
|---|---|
| Edit the content | You need the permission to edit the content of the learning experience. These are the default roles with this permission: Organisation Admin and Learning Experience Admin. |
| Change the settings of the learning experience | You need the permission to edit the settings of the learning experience. These are the default roles with this permission: Organisation Admin and Learning Experience Admin. A Group Workspace Admin can also change the settings of a learning experience that is linked to their group. |
Edit the content of a learning experience
Use the Content tab to change what a learning experience holds. Open the learning experience from Learning Experiences to find it. You save all your changes together.
-
Select the Content tab.
Make your changes on the tab.
Select Save changes in the bar that shows "You have unsaved changes".
When you save a change to the modules or the resources, a window titled "Save changes" appears. It tells you that your changes go live for enrolled learners at once and that progress is recalculated. With multiple resources it adds "Some learners may be marked complete as a result." Select Save changes again to confirm.
The window does not appear when you only rename items, change whether a module is required, or edit learner instructions or manager guidance.
You then see "All changes saved" and "Changes are live for enrolled learners. Progress will be recalculated." After a save of renames only, you see "Your changes are live for enrolled learners." Select Discard to drop your changes instead.
When you can edit the content of a published learning experience, its Content tab shows the message "Content is live". Changes apply to enrolled users immediately after you save.
With multiple resources, you can do these things on the tab:
- Select Add module to add a module at the end.
- Point to the gap between two modules and select Insert module to add one there.
- Drag a module to a new position.
- Select the bin button on a module to delete it.
- Select Undo delete before you save to bring a deleted module back.
- Select Add or search for a resource in a module to add a resource.
- Select the remove button on a resource row to remove it.
- Select Undo remove before you save to bring a removed resource back.
You can drag modules once you have more than one. You cannot delete the last module.
With one resource, select the title to rename it. Select Change resource, search your resource library, select Continue, check the resource and select Confirm to replace it.
Open the settings of a learning experience
Open the settings to change how a learning experience is named, who can reach it, and how a completion works. You change all three tabs and save them together.
Open the learning experience from Learning Experiences.
Select Settings.
-
Select the General, Access and visibility or Completion and recognition tab.
Change what you need.
Select Save changes.
You see "All changes saved". A tab that holds an error shows an exclamation icon beside its name, and a screen reader announces the icon as "Tab contains errors". Your edits stay while you move between the tabs. Select the learning experience name at the top to go back to its page.
Change the name, description and progression
Use the General tab to change how the learning experience is named and described.
| Field | What it does |
|---|---|
| Name | You must enter a name of up to 100 characters. |
| Short description | You can enter optional text about the learning experience. The counter shows a limit of 500 characters. |
| External reference | You can enter up to 255 characters. It is used for syncing with external systems, so leave it blank unless required. |
| Progression type | Linear means learners complete modules in a set sequence. Flexible means learners can complete modules in any order. |
Progression type shows only for a learning experience with multiple resources.
When you choose an image you see "Cover image updated", and you apply it with Save changes. Select Save changes to save the other fields. You see "All changes saved".
Change who can reach a learning experience and when
Use the Access and visibility tab to set the defaults for new enrolments and the dates when the learning experience is available.
| Setting | What it does |
|---|---|
| Required | Off by default, so new enrolments start as optional. Turn it on to make new enrolments required and to show Days to complete, from 1 to 365, set to 30 until you change it. You can still change both for one enrolment. |
| Require approval | Enrolments need a manager's approval first. The manager approves the request in the Requests tab of Team Management. |
| Start date | You must enter it. It is when the learning experience becomes available. |
| Close date (Optional) | It is when the learning experience is no longer available. Leave it blank to keep it available. |
The tab states that "All dates and times are shown in UTC".
Select Save changes to apply your changes. You see "All changes saved". Turning Required off removes the saved Days to complete.
Set when a completion expires
Use the Completion and recognition tab to decide whether a completion expires and whether learners start again after it does. The setting applies to new completions only, and existing completions are unchanged.
- Open the Completion and recognition tab.
- Choose a method in Attempts.
- Fill in the field that the method shows.
- Select Save changes.
You see "All changes saved".
| Method | What you set |
|---|---|
| Do not expire | You set nothing more. Completions do not expire. |
| Fixed date | Choose a date in Expire on. |
| Relative to completion | Enter a number in Valid for and choose Months or Years. The period runs from each learner's own completion. |
The Start each enrolment fresh toggle is on the same Completion and recognition tab, below the field that the method shows. When it is on, only activity from the new enrolment counts towards completion. When it is off, previous activity can count towards completion, which may mark the learner as complete immediately.
With Relative to completion and Start each enrolment fresh on, Allow before expiry (days) appears. Enter the number of days before expiry on which the new enrolment starts. Enter 0 to start it on the expiry date.
When a completion expires and Start each enrolment fresh is on, a daily check restarts the learner's enrolment. The learner's progress is cleared and the learning experience shows as not complete. The new due date is Days to complete from the restart, and there is no due date when Required is off. Learn:Go sends no message about the expiry itself, but the usual due-date reminder 14 days before the new due date applies when your organisation has notifications on.
Issue a certificate when learners complete
Turn on a certificate to give learners a PDF when they complete the learning experience. You upload the template and choose which details appear on it.
Open the Completion and recognition tab.
Turn on Issue a certificate.
Select Browse files and choose your PDF template.
-
Under Certificate settings, choose which elements appear and where.
Select Preview to check the result.
Select Save changes.
You see "All changes saved". Learners get the certificate when they complete.
The elements are "User's name", "Completion date" and "Learning experience name". "Continuing Professional Education (CPE)" appears only when your organisation uses it. The name of the user is always included.
| Field | What it does |
|---|---|
| Include on certificate | It shows or hides the element. |
| Font size | Enter a number from 1 to 200. |
| Font colour | Enter a hex colour, for example #000000. |
| Top | Enter the distance from the top, in mm. |
| Left | Enter the distance from the left, in mm. |
| Centred horizontally | It centres the element and ignores the left value. |
| Date format | It shows only for the completion date. |
Turn Issue a certificate off and save to remove the template.
Update linked groups when you change Required
When you change Required on a learning experience that has linked groups, Learn:Go asks whether to update those groups. You choose when you save.
- Change Required on the Access and visibility tab.
- Select Save changes.
- In the window titled "Update linked groups and enrolments?", read the list of linked groups and the number of enrolments.
- Choose Update linked groups and enrolments, Keep current group settings or Cancel.
The window states that you are changing the learning experience from Optional to Required, or the other way, and that completed enrolments are left alone. Update linked groups and enrolments changes the groups and the existing enrolments that are not complete.
You see "Updated <number> groups and <number> enrolments." When the learner updates take longer, you see "Updated <number> groups. Enrolment updates are in progress for <number> learners."
Keep current group settings saves the new Required value and leaves the groups as they are. Cancel saves nothing, and your edits stay on the page.
The window does not appear when no group is linked. If your edit permission comes from a group role rather than an organisation role, the window does not appear. Your change then saves as if you chose Keep current group settings.
Troubleshooting
If the Content tab shows "This experience is live and visible to enrolled learners. You don't have permission to make changes. Contact your administrator if updates are required.", you cannot edit the content, and you see the content only if you have the permission to view it. Ask an administrator who has the permission to edit content to make the change for you.
If you see "This module is empty. Add at least one resource before saving." under a module, add a resource to it or delete it.
If you see "Changes not saved" with "Some modules are empty. Add at least one resource to each, or delete them, then save again.", fix the empty modules and save again.
If you cannot find Settings, you do not have the permission to edit the settings of this learning experience. If Settings cannot be selected, the learning experience is archived.
If you see "Close date must be after start date", choose a close date after the start date.
If you see "Start date is required", enter a start date.
If you see "Expire on is required", "Valid for is required" or "Allow before expiry is required", fill in that field.
If you see "A valid certificate template is required when "Issue a certificate" is enabled", choose a template file.
If you see "This file type is not supported.", choose a PDF file.
If you see "Couldn't load linked groups and enrolments. Try Save again.", select Save changes again.
