Use the list of learning experiences in Learn:Go to find a learning experience, check its status and act on it.
Before you start
You need access to learning experiences as an admin. This means the permission to manage all learning experiences in your organisation, or access to specific learning experiences or to the learning experiences of a group.
| Task | Permission you need |
|---|---|
| Edit, archive or unarchive in the list, change the title, description or visibility, or open settings | The permission to edit that learning experience |
| Delete a learning experience | The permission to delete |
| Duplicate a learning experience | The permission to create |
An action that you cannot use stays in the menu but is disabled. Hover over it to see "You do not have permission to perform this action". In the status menu of the detail page, Archive, Unarchive and Delete need the permission for all learning experiences in your organisation. Archive is also disabled for a learning experience that is not published.
Open the list of learning experiences
The list shows the learning experiences that you can manage. With the permission to manage all learning experiences in your organisation, you see all of them. Otherwise you see only the learning experiences that you have access to, directly or through a group. Events are not in this list.
Select Learning Experiences in the navigation.
If your organisation has no learning experiences yet, the list shows "No learning experiences yet" and the action Create your first experience. The New learning experience button is at the top of the page. When you do not have the permission to create, it is disabled and shows "You do not have permission to perform this action" when you hover over it. The steps to start building one are in Create a learning experience from a single resource and Build a multi-module learning experience, and the steps to publish it are in Finish and publish a learning experience.
Read the list of learning experiences
Each row is one learning experience. Select the checkbox at the start of a row to choose it, then use Archive or Delete above the list to act on all the chosen rows. These are the columns.
| Column | What it shows |
|---|---|
| Title | The name. Select it to open the learning experience. |
| Type | "Single" or "Multiple". |
| Owner | The name of the person who created the learning experience. |
| Visibility | "Public" or "Private". |
| Enrolments | The number of enrolments. |
| Start date | The start date. |
| Last updated | The last change. It reads as elapsed time, for example "2 hours ago", for the last day, then "Yesterday", then the date. |
| Status | "Draft", "Published", "Upcoming" or "Archived". "Upcoming" is a published learning experience with a start date in the future. |
The last column has no heading. It holds an icon button for each row that opens the actions menu. Screen readers announce the button as "Actions for <title>".
The list opens with the most recently updated learning experience first.
Select the title of a draft to reopen the wizard. Select the title of any other learning experience to open its detail page.
Search and filter the list
Narrow the list to find a learning experience quickly. Type a word in the search box to search the list.
If nothing matches your search, you see "We couldn't find any experiences matching that search." If nothing matches your filters, you see "No experiences match these filters". Select Clear filters to show the full list again.
Check the figures above the list
Three cards above the list give you a quick view of learning across your organisation. Each card shows a message when there is nothing to count.
- Overall completion shows a percentage and the line "<number> out of <number> users have completed all learning".
- Total enrolled shows "across all experiences", with Completions, In progress and Not started.
- Overdue shows "past deadline with no completions".
The View reports link on the Overall completion card shows only when there are enrolments and you can view reports.
The cards load on their own. If the figures cannot load, the cards do not appear and you can still use the list.
Open a learning experience
Open the detail page of a learning experience to see its status and reach everything you can do with it.
Select its title in the list, or select the actions button at the end of its row, then Edit. A draft opens in the wizard instead.
The top of the page shows the title and description. Below them are the details "Created by", "Last updated", "Visibility" and "Type". The type is "Single-resource" or "Multi-resource".
The buttons at the top are the status menu, Visibility, Settings and Preview. The status menu shows "Draft", "Published" or "Archived". A published learning experience with a start date in the future shows "Published" here and "Upcoming" in the list. Settings shows only if you can edit this learning experience.
The page has four tabs: Users, Groups, Content and Requests. Users and Requests show only if you can view enrolments.
Groups shows only if you can view groups. Content always shows. If a tab is missing, the page opens the first tab that shows.
The steps for people and groups are in Enrol people and record completion. The steps for content and settings are in Change the content and settings of a learning experience.
Change the title and description
Change the title or the description of a learning experience on its detail page. It must not be archived.
- Open the learning experience.
- Select Edit name or Edit description.
- Type the new text.
- Select outside the field.
The change saves when you leave the field, and you see "All changes saved".
The title cannot be empty.
Archive, unarchive or delete from the detail page
You can archive, unarchive or delete a learning experience from its detail page too, and the steps and messages are in Archive, delete or duplicate learning experiences.
Change who can see a learning experience
Switch a learning experience between private and public, and allow or block groups. It must not be archived.
Open the learning experience.
-
Select Visibility.
Choose Private or Public.
Add groups in the picker, which is labelled Allow other groups to view for Private and Block other people or groups to view for Public.
Select Save changes in the bar at the bottom of the page.
You see "All changes saved". Select Discard instead to drop the change.
The panel says "Visible only to allowed people or groups" for Private and "Visible to everyone except blocked people or groups" for Public. Allowed groups see a private learning experience without being enrolled. Blocked groups do not see a public learning experience unless they are enrolled. Learners who are enrolled can always view the learning experience.
Select Copy link to copy the learner link. You see "Link copied to clipboard".
Preview a learning experience as a learner
See how learners see a learning experience before or after you publish it.
- Open the learning experience.
- Select Preview.
A window opens with the learner view of the saved learning experience. It opens in the Mobile view, and you can select Desktop to switch. It shows the last saved version, so save your changes first if you want to see them. Close the window to go back to the detail page.
You can use Preview on a learning experience of any status.
In the Mobile view, select a module, then an activity, to open it. Select Continue to go to the next activity and Finish on the last activity to return to the course. A module with no activities does not open.
The Desktop view does not open activities. If you do not have the permission to view resources, an activity shows "You don't have permission to preview this resource." instead of its content.
Edit an archived learning experience again
An archived learning experience is read-only for admins. Learners who are enrolled keep their access.
The detail page shows the banner "Archived". You cannot edit the title or description. Visibility and Settings are disabled. The Users, Groups and Content tabs are read-only, and you cannot approve or decline enrolment requests.
To edit again, select the status button, select Unarchive, then confirm. You see "Experience unarchived" and "This experience is now published and visible." The learning experience is then editable.
Resolve a save conflict
If a colleague saves a learning experience while you edit it, you choose what happens to your changes. This applies to the detail page and to the settings page.
When you save, you see the message "Someone else saved changes". It says who updated the learning experience and how long ago. Choose one of two actions.
- Select Reload latest to drop your edits and show the saved version.
- Select Save anyway to save your edits over the colleague's save.
You confirm before Reload latest discards your edits. Close the message with the close icon or Escape to keep your edits on the page without saving them. Nothing is saved until you choose.
Go back to the list you left
The list remembers how you left it. When you go back, you see the same search, filters, sort and page.
Select Learning Experiences in the breadcrumb at the top of the detail page, or select the back link with the same name. You also go back to the same view after you delete a learning experience on its detail page, and when you leave the wizard with Cancel.
After you publish in the wizard, the detail page that opens still returns to the list view you started from.
The list remembers a view only if you narrowed it with a search term, a filter, a sort or a page. Otherwise you go back to the plain list.
Troubleshooting
If you go back to the home page when you open the list, you do not have access to learning experiences as an admin.
If you see "Your changes weren't saved. Add a title first.", type a title in the title field.
If you see "Your changes weren't saved. Shorten the description first.", shorten the description.
If you see "Couldn't save changes. Your edits are still available, please try again.", save again. Your edits stay on the page.
If you cannot find Settings, you do not have the permission to edit the settings of this learning experience.
If you cannot find the Users, Groups or Requests tab, you cannot view enrolments or groups for this learning experience.
