View, change and unlink the groups linked to a learning experience on its Groups tab, and choose whether each group enrols members dynamically, lets them self-enrol, or leaves enrolment to an admin. To link a group, follow Enrol people and record completion.
Before you start
You need the permission to edit learning experiences in your organisation to change the settings of a linked group or to unlink a group. These are the default roles with this permission: Organisation Admin.
The learning experience must not be archived.
View the groups linked to a learning experience
Open the Groups tab to see which groups are linked to a learning experience and how each link is set up.
Select Learning Experiences in the main navigation.
Open the learning experience.
-
Select the Groups tab.
You see a table of the linked groups. Use Search groups to narrow the list. If no group is linked, you see "No groups assigned yet".
The table has these columns.
| Column | What it shows |
|---|---|
| Group | The group name and its number of members. |
| Enrolled members | How many members of the group are enrolled. |
| Visibility | "Visible" or "Hidden" for the group. |
| Required | "Required" or "Optional" for the group. |
| Days to complete | The number of days for a required link, or "-". |
| Enrolment method | "Dynamic", "Self-enrol" or "Admin only". |
To link a group, use Enrol users and follow Enrol people and record completion.
Change the settings of a linked group
Change how a group is linked from the three-dot menu at the end of its row on the Groups tab. Each change saves as soon as you make it.
Open the Groups tab of the learning experience.
Select the three-dot menu at the end of the group's row.
-
Turn Required on or off.
If Required is on, enter the number of days in Days to complete.
Under Enrolment method, select Dynamic, Self-enrol or Admin only.
The row in the table shows the new values. No message appears, because each change saves without one.
The Days to complete field appears only while Required is on. It saves a moment after you stop typing, and an empty field clears the value.
| Enrolment method | What it does |
|---|---|
| Dynamic | Members are enrolled as they join the group. |
| Self-enrol | Members of the group can enrol themselves. |
| Admin only | Only an admin can enrol members. |
Unlink a group from a learning experience
Unlink a group to stop it enrolling members on the learning experience.
- Open the Groups tab of the learning experience.
- Select the three-dot menu at the end of the group's row.
- Select Unlink group.
- In the "Unlink <group name>?" dialog, read the warning.
- Select Unlink.
The dialog closes and you see "<group name> has been unlinked."
Anyone who has already completed keeps their record.
Warning
When Enrolment Automation is on for your organisation, members of the group lose their incomplete enrolment on the learning experience when you unlink it, unless another source also enrolled them. Another linked group, an admin, or self-enrolment counts as another source. The removal runs in the background, so enrolments can take some time to disappear. Members who have already completed the learning experience keep their enrolment.
When Enrolment Automation is off, the unlink does not remove any enrolment.
Troubleshooting
If you do not see the Groups tab, you do not have permission to view the linked groups of this learning experience.
If Enrol users is unavailable, the learning experience is archived, you cannot edit it, or you do not have the permission to edit learning experiences in your organisation.
If the three-dot menu or Unlink group is unavailable, the learning experience is archived or you do not have permission to edit it.
If a change to a linked group fails to save, you see an error message.
