Use the Requests tab of Team Management to see the requests from the people who report to you and to approve or reject them. Each decision moves the request from Pending to History.
Before you start
Team Management appears for you if you have people reporting to you. You do not need administrator access. The Requests tab lists only the requests of the people who report to you directly. You cannot decide your own request.
Open the Requests tab
Open the Requests tab of Team Management to see the requests from your team and to approve or reject them.
- To open Team Management, see Check your team's readiness.
- Select the Requests tab beside Overview.
The Requests tab opens with two views, Pending and History. The next section describes how to find a request in these views.
Find a request to review
Use the two views of the Requests tab to find the requests that need a decision and the ones you already decided. The tab lists the requests of the people who report to you directly.
The Pending view lists course and event requests that have no decision yet, and evidence uploads that are ready for you to review. The History view lists the requests that have a decision. Each view shows a count.
On a computer, select All types to filter by request type: Event sign up, Course sign up or Evidence sign-off. Type in Search to find a request by name.
When the Pending view is empty, you see "No pending requests". When the History view is empty, you see "No decided requests yet".
Open a request on a phone or tablet
On a phone or tablet, the Requests tab shows your requests as a list that you open one row at a time.
- Select Pending or History.
- Select a request in the list.
The request opens on its own screen. Each row shows the type of request, the name of the person and, in Pending, the date. In History each row shows a status tag instead of the date.
You make your decision on the request screen, as the sections on approving and rejecting a request describe.
Sort the requests table on a computer
On a computer, the requests show as a table that you can sort by three columns.
- Select the Type column heading to sort by type of request.
- Select the Name column heading to sort by the name of the person.
- Select the Requested column heading to sort by the date of the request.
The table sorts all your requests, not only the rows you see. Select a row to open the request.
The Pending view also has an Actions column with a reject button and an approve button for each row. The History view has a Status column in its place.
Open a request to see its details
Open a request to see its details and to decide it from one place.
On a computer, the request opens in a panel beside the page. On a phone or tablet, it opens as its own screen. A pending request has Reject and Approve buttons. When a request already has a decision, both buttons are unavailable.
Read a course sign-up request
Open a course sign-up request to see what the person asked for before you decide.
- Open the Requests tab.
- Select the request.
The request shows the course name, the length of the course, "Requested <date>" and the description of the course. After a decision it also shows who decided and when, for example "Decided by <name> on <date>". When an administrator decided in your place, it reads "Decided by <name> (admin) on <date>".
Check an event sign-up request
Open an event sign-up request to see the event and who else asked to join it before you decide.
The request shows the event name, its length, its dates and how many spaces are taken, for example "<number> of <number> spaces", or "Unlimited spaces". It also shows "Requested <date>" and the description of the event.
Select the Sessions tab to see the sessions of the event. When there is nothing to list, you see "This event has no scheduled sessions yet."
Review evidence that a team member submitted
Review the evidence that a person in your team submitted, then approve it or reject it.
Open the Requests tab and select Pending.
-
Select the Evidence sign-off request.
Read the name of the step and any guidance for you.
Open the submitted file in the preview.
Select Approve, then select Approve in the dialog.
The dialog closes and you see "Request approved" with the line "You have approved an Evidence sign-off request for <name>." To reject the evidence instead, follow the steps in the section on rejecting a request.
The preview shows a PDF as "Submitted evidence", or as "Document <number> of <number>" when there are several files. For another file type you see "Preview isn't available for this file type." You can decide only evidence that is ready to review, from people who report to you directly.
Approve a request
Approve a request to enrol the person in the course or to book them on the event.
- Open the Requests tab and select Pending.
- On a computer, select the approve button at the end of the row. On a phone or tablet, or to see the details first, select the row and then select Approve.
- In the Approve request dialog, check the summary of the request.
- Select Approve.
The dialog closes and you see "Request approved", with a line such as "You have approved a course request for <name>." The request moves from Pending to History.
When an event is full and has a waitlist, the dialog says "This event is full, so <name> will join the waitlist instead of being booked." When an event is full and has no waitlist, Approve is unavailable.
An administrator whose role lets them approve enrolment requests for a course can also decide that request, and it then shows "(admin)" beside their name in the request detail.
Reject a request with a reason
Reject a request when the person should not join the course or event, or when evidence needs changes.
Open the Requests tab and select Pending.
On a computer, select the reject button at the end of the row. On a phone or tablet, or to see the details first, select the row and then select Reject.
-
In the Reject request dialog, select a reason in Reason for rejection.
Select Reject.
The dialog closes and you see "Request rejected", with a line such as "You have rejected a course request for <name>." The dialog says "Learner will be notified".
The list in Reason for rejection has Not relevant to their role, Already completed, Timing not suitable, Capacity or budget and Other. When you select Other, type your reason in Reason. A reason is optional for a course request. A reason is required for an event request, and without one you see "Give a reason so the learner knows why their place was declined."
For evidence, type what the person must change in Reason for rejection. Reject stays unavailable until you type a reason. A reason has at most 255 characters.
Get notified when evidence is ready
You get a notification in the app when a person who reports to you submits evidence for sign-off.
The notification reads "<name> submitted evidence for sign-off". Select it to open the request over the page you are on, then review the evidence as the section on reviewing evidence describes.
You get one notification for each open submission. You get it only when you are the primary manager of the person, and the evidence step is set up for sign-off.
Troubleshooting
If you see "Couldn't approve the request", the request stays in Pending.
If you see "Couldn't reject the request", the request stays in Pending.
If you see "No matching requests", select Clear filters.
If you see "This request can't be opened because it isn't from one of your direct reports.", the request is not from a person who reports to you directly.
If you see "This request can't be opened because it's no longer available.", the request has been removed.
If you see "Couldn't load sessions." or "Couldn't load team members.", the tab could not show its list.
