Assign a learning experience, which the app calls a course, to the people who report to you, and they get a notification in the app. Start from a course page to have the learning experience filled in already, or start from Team Management, as Check your team's readiness describes, to choose the learning experience yourself.
Before you start
You need to be a manager with at least one person on your team.
Assign learning from a course page
Open a learning experience in the Learn:Go app to assign it to your team with the learning experience already filled in. More actions appears on Set sequence, Flexible and single-object learning experiences.
Open the course page.
-
Select the More actions button, which is below the learning experience title on a computer and at the top right of the screen on a phone or tablet.
Select Assign to my team.
On a computer, the Assign learning experience dialog opens beside the page. On a phone or tablet, the same form opens as a full screen. The Learning experience field already holds the learning experience you opened, and you can clear it to pick another one.
To finish, follow the steps in the section on choosing the team members to assign.
Assign a learning experience to your team
Assign a learning experience to the people who report to you from Team Management. To open Team Management, see Check your team's readiness.
- Select Assign.
- In Learning experience, search for the learning experience and select it.
- Tick the team members to assign.
- Select Assign.
On a computer, Assign sits beside the Search box and opens the Assign learning experience dialog. On a phone, Assign sits at the bottom of the screen beside Search user and opens a full screen of the same name. Assign is unavailable while the list loads and when you have no team members. In the form, Assign is unavailable until you choose a learning experience and tick at least one person.
The form closes and you see "Learning experience assigned" with the line "<course> was assigned to <number> team member(s)." When everyone you ticked already holds the learning experience, you see "Nothing to assign" with the line "<course> was skipped - the members you selected are already enrolled." You can assign only to people on your own team, not to people on other teams. The whole selection saves or none of it does.
Each person you assign receives a notification in the app that reads "<your name> assigned you the course: <course>". A group that the person belongs to can set whether the learning experience is required and when it is due. If the person is in no group linked to the learning experience, the settings of the learning experience apply. If the person is in a linked group, only the settings of the linked groups apply.
Choose the team members to assign
Choose which of your team members get the learning experience. The list shows the people on your team, with their job role and the name of their store or department under each name.
The list stays empty until you pick a learning experience. Until then you see "Pick a learning experience above to see who's eligible." The search box is unavailable until then too.
- Pick a learning experience in Learning experience.
- Tick the box on each person to assign, or tick Select all.
- To find someone, type in Search team members.
- Check the number beside Assignment list, which counts the people you ticked.
Each person has a tag. "Available" means the person does not hold the learning experience yet. "Already enrolled" means the person already holds it, and you cannot tick that person.
Select all ticks only the people tagged "Available" who are in the list, and selecting it again clears them. Select all is unavailable when no one is available and while a search is still updating.
Search matches names, email addresses and usernames. Your ticks stay in place while you search. If you pick a different learning experience, the ticks clear.
Search for a learning experience to assign
Search for the learning experience you want to assign by typing in the Learning experience field. The field lists only Set sequence, Flexible and single-object learning experiences from your organisation that you can see.
- Select Learning experience.
- Type part of the name of the learning experience.
- Select the learning experience in the list.
Before you type, the field shows "Search learning experiences". While it looks, it shows "Loading...". The list shows up to 20 results, in name order.
To pick a different learning experience, clear the field or type over your choice. Your choice is dropped when you type, so the team member list empties until you pick again.
Troubleshooting
If you cannot see More actions on a course page or Assign in Team Management, you may not be a manager or assignment may not be available to you in your organisation. More actions is also hidden when the learning experience is not a Set sequence, Flexible or single-object type. Contact support.
If Assign to my team is unavailable, wait for the page to load. If it stays unavailable, you have no team members.
If you see "Couldn't assign that learning experience", read the line under it and select Assign again. Nothing is assigned when this message appears.
If you see "No learning experiences match that search", try a different search term.
If you see "Couldn't search learning experiences - try again", change the text in the field to search again.
If you see "No team members match that search", change your search.
If you see "You have no team members to assign to.", no one reports to you, so you cannot assign learning.
If you see "Couldn't load your team", select the retry control.
