Use the roles screens in Learn:Go to see who holds which role and to give or remove roles. The roles list shows the organisation roles of the active users of your organisation at once, and the roles page of one person also covers learning experiences and groups.
Before you start
To open the roles list, you need the permission to edit users.
These are the default roles with this permission: Organisation Admin and User Manager. If your organisation uses custom roles, yours may grant more or less than this.
Open the roles list
Open one list that shows which roles the active users of your organisation hold.
Select Users in the navigation.
-
Select the Roles tab.
The list opens with these columns:
- Last Name
- First Name
- Organisation Admin
- Organisation Tutor
- Organisation Support
- User Manager
- Learning Experience Creator
- Group Creator
- Badge Manager
- Tag Manager
- Resource Admin
To sort the list, select a column heading. A ticked box means that the person holds that role. An empty box means that they do not.
Give a person a role
Give a person a role, or take one away, from the roles list.
- Find the person in the roles list.
- Select the empty box in the column of the role to give it, or the ticked box to remove it.
The list reloads and shows the new tick or empty box.
The hover text of an empty box is "Promote to <role name>". The hover text of a ticked box is "Remove this role".
An Organisation Admin can give every role in the list. A User Manager can give every role in the list except Organisation Admin. The same limits apply when you remove a role.
Open the roles of one person
Select the pencil button in the Actions column of the user list.
-
Select the Roles tab.
Only Learn:Go support can switch user management on or off.
The pencil button shows only when you have the permission to edit users and user management is switched on for your organisation. When it is switched off, the user list shows only the view button. The Organisation Tutor role does not open the user list, so a person with only that role cannot take this path.
Set roles on a learning experience
Give a person a role on one learning experience, or take it away, from the "Learning Experiences" card.
- Open the roles of the person.
- Find the learning experience in the card.
- Select the empty box in the column of the role to give it, or the ticked box to remove it.
The card reloads and shows the new tick or empty box.
The card has these columns: "Name", "Alias", "Enrolled", "Learning Experience Admin" and "Learning Experience Tutor". A tick in "Enrolled" means that the person is enrolled. The column "Learning Experience Record Uploader" appears when your organisation has record import switched on.
Set roles on a group
Give a person a role in one group, or take it away, from the "Groups" card.
- Open the roles of the person.
- Find the group in the card.
- Select the empty box in the column of the role to give it, or the ticked box to remove it.
The card reloads and shows the new tick or empty box.
The card has these columns: "Name", "Enrolled", "Group Admin", "Group Tutor", "Group Workspace Facilitator", "Group Support", "Group Reviewer" and "Group Content Assigner".
If your organisation uses workspaces, the card is "Groups & Workspaces" and has the column "Group Workspace Admin". That box works only for a group that is a workspace. The column "Group Record Uploader" appears when your organisation has record import switched on.
Set a person's roles in each organisation
Give a person an organisation role, or take one away, from the "Organisation" card.
- Open the roles of the person.
- Find the organisation in the card.
- Select the empty box in the column of the role to give it, or the ticked box to remove it.
The card reloads and shows the new tick or empty box.
If your organisation manages other organisations, the card has one row for each of them as well. The same limits apply as in the roles list. The columns are "Name", "Organisation Admin", "Organisation Tutor", "Organisation Support", "User Manager", "Learning Experience Creator", "Group Creator", "Badge Manager", "Tag Manager" and "Resource Admin".

Troubleshooting
If you do not see the Roles tab, your role does not include the permission to edit users.
If you see "You do not have appropriate permissions for this action" above the roles list or the "Organisation" card, you cannot give or remove that role. The message stays for a few seconds, and the box stays as it was.
If the box in the column "Group Workspace Admin" does nothing, the group is not a workspace.
