Take an account out of your organisation's user list. The account is hidden rather than erased, so support can restore it if you make a mistake.
Before you start
To remove a user you need permission to edit users. These are the default roles with this permission: Organisation Admin and User Manager. If your organisation uses custom roles, yours may grant more or less than this.
Remove the account
Check the name before you confirm.
-
Select the bin button in the Actions column.
Confirm the removal.
The row disappears from the list straight away. The bin button also appears on your own account and on the rows of other Organisation Admins, and the removal works in the same way for them.
Warning
Removing a user also cancels their places on any event session that has not yet started. Places on events that have already happened are left alone, so attendance records are kept.
The account is hidden rather than erased, so it stops appearing in your list. If you remove someone by mistake, contact support, who can restore the account.
Understand what happens to the account and its data
Removing a user with the bin button hides their account and the records that belong to it.
- Enrolments, progress and completions are hidden.
- Certificates cannot be downloaded.
- Group member counts no longer include the user.
- Roles stay on the hidden account, so you have nothing to clean up, and they return if support restores it.
Reports that list enrolments by user no longer include the user. If support restores the account, its enrolments, progress and completions come back.
Reuse a removed user's username or email
You can use the username and the email of a removed account for a new account straight away. If support restores the old account while the new account uses the same username, the restored account gets a changed username.
Remove every user who is not in a file
To remove many users in one step, import a file that lists the users to keep.
Warning
Learn:Go lists every existing user who is not in your file, and removes all of them when you confirm. A user is kept only if their row has no errors. If a row is listed under Errors, that user is also in the list of users to be deleted, so correct your file and import it again before you confirm.
Select Import Users.
Upload your file.
Match each column in your file to a field.
Select the Syncronize Users checkbox.
Select Submit.
Check the list under "The following existing users will be deleted".
Select Confirm Changes.
You see "Deleted <number> user(s)", and the removed users no longer appear in your list.
Troubleshooting
If you cannot see the bin button in the Actions column, your role does not include permission to edit users, or user management in Learn:Go is switched off for your organisation. Ask an administrator to check your role, or contact support to switch user management on.
If you cannot see Import Users, the same two causes apply. The button needs permission to edit users, and it is hidden while user management is switched off.
