Create an account for one person, or change an existing account's details, from the user list in the admin area. The same form also carries a person's tags.
Before you start
To add or change a user you need permission to add and change users. These are the default roles with this permission: Organisation Admin and User Manager. If your organisation uses custom roles, yours may grant more or less than this.
Add a user
- On the user list, select Add User.
- Fill in the four required fields: Username, First Name, Last Name and Email.
- Select Submit.
The form reopens with that person's details filled in.
To create many accounts at once, use Import Users instead.
Give the new person access
Learn:Go does not email the person when you create their account, so you need to tell them and give them a way to sign in. New accounts start with your organisation's default notification and privacy settings.
Until a password is set, the account has none. Give the person their first password in one of these ways:
- Fill in Password on the form and pass it to them yourself.
- Have them request a password reset email from the sign-in page.
- Have them sign in through single sign-on, if your organisation uses it.
The reset email works even though the account has no password yet. A person who signs in through single sign-on does not need a password here at all.
They can request the reset email from the sign-in page with Forgot password?, and the link expires after 24 hours.
Change a user's details
The form is the same one used to add a user.
- Select the pencil button in the Actions column of the user list.
- Change the details you need on the form.
- Select Submit.
After you select Submit, the form reopens with the person's details filled in and your changes applied.
The form has these fields.
| Field | What to enter |
|---|---|
| Username | The name the person signs in with. Required, up to 255 characters. Spaces and symbols are allowed. Text that looks like an HTML tag, for example <b>, is removed when you save. It must differ from the username of every other account in your organisation, and a username that differs only in capital or small letters counts as the same. |
| The person's email address. Required, a valid address of up to 255 characters. | |
| Password | At least 6 characters, or at least 8 with a number, a letter and a symbol if your organisation requires stronger passwords. It must match Confirm Password. Leave it blank to keep the current password. |
| Confirm Password | Type the password again. |
| First Name | Required, up to 255 characters. |
| Last Name | Required, up to 255 characters. |
| Image | The person's picture. Choose a file to replace the current picture. |
| Language | The person's language, chosen from a list. A new account starts with your organisation's language. |
| Timezone | The person's time zone, chosen from a list. A new account starts with "(GMT) London". |
| Expires At | A date and time in UTC. After that moment the person can no longer sign in. Leave it blank for no expiry. See Control how a user signs in. |
| Function | Free text. It appears on the person's details page. |
| Organisation Reference | Free text. |
| Tags | The tags on the person. To add or remove them, see Tag a user. |
| Disable manual login | Tick this box to stop the person signing in with a username and password. See Control how a user signs in. |
| SSO Ident | Appears only if your organisation uses single sign-on. When the person signs in through single sign-on, their account is found by this value first. It must differ from the SSO Ident of every other account in your organisation. Leave it blank if the person has none. |
Note
More than one account can use the same address.
Roles are not set on this form. Use Roles in the Users menu instead.
Note
When you edit an Organisation Admin and you are not one yourself, the password fields are read-only. Everything else on the form stays editable.
Tag a user
Tags are set on the same form.
- In Tags, start typing and select an existing tag.
- If no tag matches, select the + button to create one.
- To remove a tag, select the bin icon on its chip.
- Select Submit.
The + button appears when no tag matches what you type. To create a tag with it you need Organisation Admin or Tag Admin. With another role, such as User Manager, the form for the new tag does not open.
A tag you select appears as a chip below the box. Nothing changes until you save. On saving, the person's tags become exactly the set shown, so removals apply as well as additions, and the form reopens showing the saved set.
Troubleshooting
If you see "This username is not available or has already been registered" beside Username, another account in your organisation already uses that username. Submit the form again with a different username.
If you see "The username may not be greater than 255 characters." beside Username, submit the form again with a shorter username.
If you see "The email must be a valid email address." beside Email, submit the form again with an address in the form name@example.com.
If a required field is empty, you see a message such as "The username field is required." beside it. Submit the form again with the field filled in.
If the list shows only the view button and has no Add User or Import Users button, your role does not have permission to add and change users, or your organisation has switched off user management in Learn:Go.
If you have a custom role and you can open the blank Add User form but cannot save it, your role does not have permission to add users.
