Use this article if the Events page has a Create New Event button. If it has a New event button, see the articles in Events and sessions.
Browse the events in your organisation in Learn:Go, and open an event to see its schedules or sessions. You can search, sort and filter the list to find the event you want.
Before you start
You need permission to view events in your organisation, or permission to view a particular event or session. With the second kind of permission, the list shows only the events that you can view. These are the default roles with this permission: Organisation Admin.
The Roles screen describes the permission as "Allows you to view Events in your Organisation".
Your organisation also needs Events turned on.
Switch between all events and your events
Use the tabs at the top of the page to choose which events you browse.
| Tab | What it shows |
|---|---|
| All Events | Every event you can see in your organisation. |
| My Events | The events you created. |
| Rooms | The rooms for your events. You need permission to view rooms. |
| Roles | The event roles. You need permission to view event roles, and your organisation needs event roles turned on. |
| My Assigned Sessions | The sessions that you are assigned to facilitate. Your organisation needs session facilitators turned on. |
You see All Events and My Events straight away. You see the other tabs only when your role and your organisation allow them.
Browse events by tab
Open All Events or My Events, then choose a tab to browse that group of events. When you open Events from the Learn:Go menu, the list opens on the All Events tab.
| Tab | Events it shows |
|---|---|
| Upcoming Events | Events with a session still to come. |
| Unscheduled Events | Events with no sessions, and events whose only sessions are cancelled. |
| Past Events | Events whose sessions have taken place. |
| All Events | Every event in the group, whatever its sessions. |
Each event is a card with its name and a line about its sessions. The list shows 8 events on a page. Use the page controls to move between pages. You can also show 10 or 12 events on a page.
When you select another tab, the list returns to the first page.
Search for an event
Type in the Find Events field above the tabs to narrow the list to events that match your words.
The list updates when you stop typing and shows the first page of results. If nothing matches, you see "No items found for your search". Clear the field to see the full list again.
Sort the list of events
Select the arrow button at the right end of the tabs to reverse the order of the list.
The button shows the field and direction when you hover over it, for example "Date, ascending". On Unscheduled Events the field is "Name". The list returns to the first page after you select it.
| Tab | Order when you open it |
|---|---|
| Upcoming Events | Ascending |
| Unscheduled Events | Ascending |
| Past Events | Descending |
| All Events | Descending |
A change of order on one tab does not carry to another tab.
Filter events by session date and location
Select Filters beside Find Events to show only events with sessions in the months or places you choose.
- Select Filters.
- In Session date, tick one or more months.
- In Location, tick one or more cities.
- Select Apply filters.
To search for a city, type in the Location field. Typing only narrows the cities that you can tick. The list of events changes, and returns to the first page, after you select Apply filters. Select Cancel to close the panel.
The month and city lists show only months and cities that have sessions. If a list is empty, you see "No months available" or "No cities available". The button is not available on Unscheduled Events, because those events have no sessions. When no months or cities are available, hover over the button to see "No sessions created".
Your choices clear when you change tab or switch between All Events and My Events.
Read the session date on an event card
Read the line under the event name to see when its sessions take place. The line depends on the tab.
| Tab | What the line says |
|---|---|
| Upcoming Events | "First session commencing <date>", "Next session commencing <date>" or "Session commencing <date>" |
| Past Events | "Last session commenced <date>" or "Session commenced <date>" |
| Unscheduled Events | "No sessions created" |
| All Events | The upcoming line if the event has one, otherwise the past line, otherwise "No sessions created" |
"First session commencing" shows when an event has more than one session to come and none has started. "Next session commencing" shows when a session has already started and more follow. "Session commencing" shows for an event with one session to come and none started.
Open an event
Select an event card to open the event.
If the event has one schedule, you go straight to the sessions of that schedule. If it has any other number of schedules, you see the schedules of the event. The steps for schedules are in Set up the schedules of an event.
To change the event itself, use the pencil icon on its card. The steps are in Create and edit an event.
Troubleshooting
If you see "No events created yet" with "Create your first event to start organizing schedules with multiple sessions.", the tab has no events to show and no search or filter is active. Choose another tab, or create an event with the steps in Create and edit an event.
If you see "No items found for your search" with "Please check back later or try a new search as more events are added.", no event matches your search or filters. Clear the Find Events field or the filters, or try other words.
If you see "Error" in place of the list, reload the page.
If you cannot find Events in the Learn:Go menu, contact support.
If you cannot find Filters, contact support.
