Use the job role fields to see the details that Learn:Go holds about each role, to set the two role frameworks, and to show or hide role fields on people's profiles. The list of fields is fixed, so you change only the two framework rows and the visibility switch.
Before you start
You need the permission for the Fields menu and the permission to edit organisation settings. These are the default roles with this permission: Organisation Admin. If your organisation uses custom roles, your role may grant more or less than this.
Job roles must also be turned on for your organisation. You cannot turn them on yourself, so contact support.
Check that job role fields are available
Check the Fields menu before you open the job role fields. If Job Roles is in the menu, job role fields are turned on for your organisation.
Open the job role fields
Open the list of job role fields to see the details that Learn:Go holds about each role. The list is fixed, and you change only its framework rows and its visibility.
In the admin menu, select Fields.
-
Select Job Roles.
The screen shows one table with a Name column. Its rows are "Role Title", "Role ID", "Description", "Start date", "End date", "Framework 1", "Framework 2", "Manager", "Temporary Manager Name" and "Temporary Manager Expiry Date".
You cannot add or delete rows. A role field that has no input for a person does not show on the person's profile. The two framework rows show "Undefined" if you have not set one.
Show or hide role fields for people
Turn the switch on to show role fields on people's profiles, or off to hide them.
- Open the job role fields, as described in the section Open the job role fields.
- Select the switch Make role fields visible on the front-end.
The switch saves at once, and there is no Save button. The switch shows the new state when the change is saved.
People see the role fields on their profile only when the switch is on. A role field that has no input for a person does not show on that person's profile.
Set the role frameworks
Choose the two frameworks that people use when you give them a role. You can also change or clear a framework.
Open the job role fields, as described in the section Open the job role fields.
On the row "Framework 1" or "Framework 2", select the pencil button Edit.
Select Select Framework.
Search for a framework and select it.
Select Save in the framework list.
-
Check Field Name, and fill in Field Tooltip Description if you want.
Select Save.
The panel closes.
Field Name is required and takes up to 100 characters. Field Tooltip Description takes up to 255 characters. Both boxes fill in from the framework, and you can change them. Both stay unavailable until you choose a framework.
To change a framework, select the edit icon beside its name. Learn:Go shows the dialog "Change Framework". Select Change Framework to choose a new framework, or Cancel to keep the current one.
To clear a framework, select the delete icon on its name. In the dialog "Clear Framework", select Clear. The framework leaves the row at once, the panel closes and the row shows "Undefined" again.
Note
Changing or clearing a framework does not change the values that people already have in their roles. Contact support if you are unsure.
Troubleshooting
If you do not see Fields in the admin menu, your role does not have the permission for it. Ask an Organisation Admin to check your role.
If Job Roles is not in the Fields menu, job roles are not turned on for your organisation. Contact support to check.
If you cannot open the Job Roles screen, Learn:Go takes you to a page that your role can use. Ask an Organisation Admin to check your role.
If you see "Error" when the screen opens, Learn:Go could not load the settings. If you see "Error" after you select the switch, the change did not save.
If you see "Required", fill in Field Name and choose a framework.
