Inviting external reviewers (people without a Poet account)
You can invite people who don't have a Poet account — a client contact, an SME, or a legal/compliance reviewer — as external reviewers. They get an email with a review link and sign in with their email and a password you set. External reviewers can comment and suggest edits only.
Before you start
Start a review first (see Reviewing a course with the Course Review Tool).
Invite an external reviewer.
In the review view, click Share to open Manage Reviewers.
- Expand Invite external reviewer. It explains: "Invite someone without a Poet account. They'll get an email with the review link and sign in with their email and the password you set below."
- Enter Email (their sign-in), First name, Last name, a temporary Password (min 8 characters), an optional Message and Due date, and Access expires (defaults to 30 days).
Click Send invitation — you'll see "Invitation sent to [email]".
The reviewer appears under Current reviewers with an External badge, their role, due date and access-until date. Requests awaiting action appear under Pending access requests.
What the reviewer receives
An email ("You've been invited to review a course") with review details, your message, how to access, and what's expected. They click Open review, sign in with their email and the password you set, and land on a My reviews page listing the courses they've been invited to.
Once the external review adds their username and password (created and supplied by the administrator adding the external review)
The user will be taken to the following page
when they click on 'open review' they will see the review
(The only difference between an external reviewer and a reviewer is the left-hand-side menu is not viewable to an external reviewer).
If the external review closes the course in error, they can reopen it (unless the close the session window) by clicking on the Reopen my review.
The review owner will then trigger a message to inform them that the review is complete (according to their preferences).
When the external reviewer has finished with their review
They click Mark my review done and the review owner receives an email ("A reviewer has finished their pass") to open the review and work through their comments and suggestions.
The External reviewer will receive a message that informs them of their access now being removed
Managing external reviewer accounts (Admin)
External reviewers appear in Settings → User Management under the External Reviewer role, where admins can filter to them and manage their accounts.
A review administrator/owner can edited, (de/re) acitvated - reset their password, view a users history or delete the user from Poet
