LXP Product Release Notes – 20 August 2026
TL;DR – What's new?
This release brings two sets of improvements to LXP Events.
The first is a new events data platform — custom fields, stable IDs, bulk delegate upload and a consistent session owner — built to let organisations attach the extra information they need to events, schedules and sessions, and to make that data available through the API for website and system integrations.
The second is a refreshed admin experience for managing events day to day: a reorganised Events page with clearer tabs and sorting, a new month filter, at-a-glance booking status, faster navigation from an event straight to its sessions, and clearer session date labels for learners.
Together, these changes reduce manual admin work, make it easier to tell similar events apart, and give integrators a reliable, read-only feed of the data their Admins need.
Custom fields for events, schedules and sessions
What's changed
Admins can now define their own custom fields — Short Text or a fixed list of Selections — and attach them at event, schedule or session level. Fields can be marked mandatory or optional, and mandatory fields are enforced when the record is saved.
Why you'll love it
No more tracking extra information in a separate spreadsheet. Whatever your organisation needs to capture against an event, schedule or session — a partner type, a delivery channel, a PO number, a booking reference — can now live directly on the record, be entered at the point of setup, and flow through to any system that reads from our API.
How to use it
Admins configure the available custom fields for their organisation, then populate them from the usual event, schedule and session create/edit screens. Populated values are shown on the record's detail view. Field values are currently admin- and API-facing only — they don't yet appear in learner-facing screens, list/grid columns, or email templates.
Visible IDs for events, schedules and sessions
What's changed
Every event, schedule and session already carries a permanent, unique identifier behind the scenes. That identifier can now be shown directly in the admin views, with a show/hide toggle so it's there when you need it and out of the way when you don't.
Why you'll love it
If you run a lot of similarly named events — several "First Aid" or "Safeguarding" sessions running in parallel, for example — it's now much easier to say with confidence which one you mean, whether you're talking to a colleague, raising a support ticket, or matching a record back to an external system.
How to use it
Turn on ID visibility from the show/hide control on the relevant event, schedule or session view. The ID shown always matches the one returned by the API, so it can be used as a reliable reference point across systems.
Bulk delegate upload via CSV
What's changed
A new CSV upload flow lets admins load a whole list of delegates onto a schedule in one go, rather than adding them one at a time. The flow walks through upload, column mapping, a preview of what will happen, and a results screen.
Why you'll love it
When a schedule is sold or allocated as a block — a class booked by an organisation, for example — this removes the clerical work of enrolling each delegate individually. Rows that succeed are applied straight away; rows with a problem (an unrecognised reference, a schedule that's already full, someone already signed up) are clearly flagged so they can be fixed and re-run without holding up everyone else.
How to use it
From a schedule's registrations page, use the new import button to upload your CSV, map its columns, review the preview, and confirm. You'll see a results screen showing which delegates were signed up successfully.
Session owner ("Booker") on every session type
What's changed
The session owner field — previously only available on Virtual and In-Person sessions — is now available on every session type, including physical sessions. The owner is now chosen from a user lookup rather than typed in as a free-text email address.
Why you'll love it
Every session can now have one clear, accountable point of contact, regardless of session type, which makes notifications, reporting and reconciliation more reliable, and removes the risk of typos in a free-typed email address.
How to use it
When creating or editing any session, set the owner by searching for and selecting a user from the lookup. Existing Virtual and In-Person sessions and their owners are unaffected.
Event and Schedule references on email templates
What's changed
Event and schedule reference numbers are now available as merge fields in event and session email templates, such as confirmations, changes and reminders.
Why you'll love it
Delegates and support teams can now quote a specific reference from an automated email when following up on a booking, rather than relying on the event name alone — helpful when several events or schedules share a similar name.
How to use it
Add the new merge field tokens to a template wherever you'd like the reference to appear. Existing templates that don't use the tokens are completely unaffected and will continue to send exactly as before.
Re-organised Events page
What's changed
The Admin Events page is now organised into four tabs — Upcoming Events, Unscheduled Events, Past Events and All Events — each sorted in the order that's most useful for that view. Upcoming Events shows the soonest session first, Unscheduled Events is sorted alphabetically, and Past/All Events lead with the most recent activity. The event description has also been removed from the cards to keep the list clean and scannable.
Why you'll love it
Instead of scrolling through one long, undifferentiated list, admins can jump straight to what they need — what's coming up next, what still needs session scheduling, or what's already happened — without extra clicks or lengthy searches.
How to use it
Switch between the Upcoming, Unscheduled, Past and All tabs at the top of the Events page. Each tab keeps its own sort order automatically; a sort toggle lets you flip between ascending and descending where relevant.
Booking status on schedules and sessions
What's changed
Schedules on My Schedules and All Schedules now show clear status pills: whether booking is open, not yet open, or closed, alongside the number of delegates booked and the number of places still available. The same booking information — status, number booked, places available — is now also shown on the sessions page for both single and multi-schedule events.
Why you'll love it
You can now tell a schedule's booking state at a glance, without opening it, including whether it's fully booked. That makes it much easier to spot schedules that need attention, whether that's chasing sign-ups or closing off a full class.
How to use it
No setup needed — the status, booked count and places-available pills appear automatically on My Schedules, All Schedules, and the sessions page, and update as sign-ups change.
Faster navigation from event to sessions
What's changed
Clicking an event that has a single schedule now takes you straight to that schedule's session list, rather than via an intermediate schedules screen. A new "Create New Schedule" button has also been added to that page, along with a link back to All Schedules.
Why you'll love it
For the many events that only ever have one schedule, this removes an unnecessary click every time you want to see or manage its sessions.
How to use it
Click through from the Events page as normal — where an event has just one schedule, you'll land directly on its session list. Events with multiple schedules continue to show the All Schedules screen first, as before.
Bug fixes and small enhancements

- Removed Event description from Events page
- Learner event date filters now start from the month of the closest relevant session, rather than always beginning at the current month.
