Setting up Collections in Academies

  • Last updated:

Now that you have your Academy set up, you can add content to a Collection for users to access.

Create a New Collection

  1. Start by clicking on the Content tab of your Academy. You will find all of your current Collections in the Collections folder.

  2. To create a new Collection, click the +Add button and select Add Collection.

  3. Set up a Name and description for your Collection and click Create.

Configure Collection Settings

After creating your Collection, you will be taken to the Settings screen where you can control your metadata and branding.

  • Name & Description: Edit the Collection Name or Add a short teaser description for your collection. field to give learners more context.

  • Collection URL (the slug): You can now customize your Collection's URL. Use this to give your Collection a specific URL you can then share. Important: Updating the slug will break any existing hyperlinks, so advise your team to only change it deliberately.

  • Banner Image: "Image displayed in the hero section at the top of your Collection page" (min. 800px width recommended; PNG, JPEG, GIF).

  • Card Image: "Image displayed on your Collection's 'card' in the Academy content catalog" (up to 700px x 400px; PNG, JPEG, GIF).

  • Meta Image: The sharing/preview image used when linking your Collection externally (up to 800px x 400px).

Organise a Collection's Content into Sections

What happens to existing Collections?

For existing Collections, content that was already there is moved into sections automatically, so authors don't have to rebuild anything by hand.

Instead of one flat list of content, authors can now group the items inside a Collection into named Sections (for example "Getting Started", "Advanced Topics").

Before any sections exist, you will see an empty-state message: "This collection has no sections yet. Add sections to organize your content." To get started.

  1. Create a section: Click Add Section to create a new group. A brand-new one is labelled Untitled Section until it is named.

  2. Add details: Fill in the Enter the section title field and, if needed, the Add a description... field.

  3. Add items: Content is added within a section using Add content.

  4. Reorder & Edit: Sections and the items inside them can be reordered with Move up / Move down, edited via Edit, and removed via Remove Section or, for a single item, Remove from section.

Supported Content Types: In addition to Guides, Resources, and SCORM content, the "Add Content" picker now lets you add Certifications, Paths, Events, and Other Collections (you can now nest a Collection inside a Collection).

Note: The system automatically blocks a Collection from being nested inside itself or creating a circular reference.

Note: Currently Guides and SCORM appear as Courses - we will be updating this shortly to distinguish them.

On the Modules page, click "Add Content" to select your content from the Content Library.

Managing Content and Visibility

The content table shows the columns Content, Type, Trainings, and Price.

Content Thumbnails The small image sitting to the left of each content name is a content thumbnail. It displays the content item's own cover image (or a default image chosen by content type if a custom one hasn't been uploaded).

Consolidated Actions & Visibility Segment visibility is no longer shown as its own standalone column. Instead, it lives inside the row's actions menu at the end of each row. This consolidates all per-item actions—Edit Settings, Get Share Link, Visibility Settings, and Remove—under one menu.

  1. Click the ... menu at the end of a content row.

  2. Select Visibility Settings to open the access dialog.

  3. Choose whether the item is open to everyone, visible only to certain segments, hidden from certain segments, or (for eligible content) visible to logged-out users.

Note: Visibility Settings only appears in the menu for content types that support sharing/visibility control—Guides, SCORM, Resources, nested Collections, Certifications, and Events.

Publish your Collection

Once you have added all of the modules and configured your sections, click the Publish button to make this content available to your Learners!
